POSITION SUMMARY:

The Development Associate plays a key role in supporting NMIC’s fundraising efforts by managing core development operations, donor data systems, and gift processing while assisting with donor engagement and fundraising initiatives. This role is responsible for ensuring that all gifts are processed and acknowledged accurately; maintaining the integrity of the development CRM; supporting donor cultivation activities and fundraising campaigns; and assisting with the logistics of development events.

The ideal candidate is highly organized, detail-oriented, and comfortable working with data and systems. This position requires someone who can manage administrative and operational tasks with accuracy while also supporting the relationship-building work that drives successful fundraising.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

Gift Processing & Donor Acknowledgements

  • Ensure that all donations are processed, coded, and entered into the development CRM accurately and in a timely manner, including online gifts, checks, wire transfers, stock/securities, in-kind, and other forms of contributions.

  • Generate and send acknowledgment letters for individual, corporate, and foundation donors in accordance with organizational standards and timelines.

  • Manage the tracking and follow-up process for pledge payments from private funders.

  • Process and manage documentation related to matching gifts, tribute gifts, and other special donations.

  • Oversee tracking and acknowledgment of in-kind donations, ensuring donors receive appropriate recognition.

Development CRM & Data Management

  • Maintain the accuracy and integrity of the development CRM by ensuring donor records are complete, current, and aligned with organizational data standards.

  • Conduct routine data-quality checks and resolve inconsistencies in donor records.

  • Generate queries, reports, and donor lists for fundraising campaigns, stewardship activities, and internal reporting needs.

  • Prepare mailing lists for fundraising appeals and campaigns.

  • Track and report on donor engagement and campaign performance metrics.

  • Assist the Director of Development with data pulls and reports for leadership, the Board, and advisory groups as needed.

  • Support monthly reconciliation processes with the Finance team to ensure accurate donation tracking and reporting.

  • Serve as a liaison between Development and Finance regarding donation records and tracking within the CRM.

  • Maintain charity database memberships and fundraising directory listings.

Donor Engagement, Cultivation and Events

  • Assist with preparation of materials for donor meetings, visits, and cultivation opportunities.

  • Conduct basic prospect research and develop profiles for key donors and prospects.

  • Coordinate donor and prospect site visits and engagement opportunities.

  • Support the Director of Development and Communications Associate in coordinating donor engagement activities and outreach.

  • Support the planning and execution of annual appeals and other fundraising campaigns.

  • Draft donor appeals and outreach materials using established messaging and templates.

  • Assist with logistics and preparation for fundraising events, including NMIC’s benefit and other events.

  • Coordinate volunteer and group engagement opportunities for corporate partners, donors, and leadership groups.

  • Coordinate the receipt and connection of in-kind gifts with program staff.

  • Represent the development team during internal events and assist with department planning and special projects as needed.

General Development Support

  • Respond to general donor inquiries in a timely and professional manner.

  • Provide administrative and project coordination support for the Development department.

  • Maintain organized digital files and systems for development materials and donor records.

  • Represent the development team during internal events and support department planning and special projects.

  • Participate in team meetings, trainings, and organizational activities.

Qualifications

  • 2–4 years of nonprofit fundraising, administrative, or development operations experience.

  • Strong written and oral communication skills

  • Experience with donor databases/CRMs (EveryAction a plus).

  • Comfort with data analysis, reporting, and financial tracking.

  • Excellent time management, reliability, and attention to detail.

  • Strong interpersonal skills and emotional intelligence.

  • Ability to manage multiple priorities in a fast-paced environment.

SALARY/BENEFITS:

NMIC offers a generous benefits package including medical, dental, life, and disability insurance; paid time off consisting of 20 vacation days, 15 sick days, 5 personal days, 11 agency holidays, plus the week off from Christmas Eve through New Year's Day; a 401k with agency contribution; and other benefits.

Salary Range: $60,000 - $75,000
